Job Overview:
Queen of Apostles Catholic School is seeking an organized, dependable, and compassionate individual to lead our Extended Day Program. This individual will oversee the daily operations of our before and after-school care, ensuring a safe, nurturing, and faith-centered environment for all students. The Director will manage program scheduling, state licensing compliance, billing processes, and serve as the acting administrator during Extended Day hours. This role requires excellent leadership, communication, and organizational skills, as well as a commitment to upholding the Catholic values and mission of our school.
Key Responsibilities:
Program Oversight & Administration
- Manage the daily operations of the Extended Day Program, ensuring a well-organized, safe, and engaging environment.
- Serve as the acting administrator on-site during Extended Day hours, making decisions as needed for the care and safety of students and staff.
- Develop and implement schedules, activities, and routines for program participants.
- Supervise, support, and schedule Extended Day staff members.
- Maintain accurate student attendance records and oversee check-in/check-out procedures.
Licensing & Compliance
- Ensure the program operates in full compliance with all state and diocesan licensing regulations and policies.
- Prepare for and participate in licensing inspections and audits.
- Maintain accurate records related to licensing, staffing, student files, and health and safety protocols.
Billing & Financial Management
- Manage billing processes for Extended Day services, including generating invoices, collecting payments, and maintaining financial records in collaboration with the Parish Business Manager.
- Communicate with the school’s business office regarding program income, expenses, and budget needs.
Parent Communication & Customer Service
- Serve as the primary point of contact for parents regarding Extended Day services, student concerns, program updates, and incident reports.
- Provide clear, compassionate, and professional communication with families.
- Address and resolve parent concerns or issues promptly and in alignment with school policies.
Staff Leadership & Professional Development
- Train and supervise Extended Day staff.
- Provide ongoing professional support and conduct regular staff meetings and performance evaluations.
- Ensure all staff complete required training and certifications (CPR/First Aid, background checks, etc.).
Qualifications:
- Associate or Bachelor’s degree in Education, Child Development, or a related field preferred.
- Prior experience managing or supervising childcare, after-school, or youth programs.
- Knowledge of state licensing requirements for childcare programs.
- Excellent organizational, leadership, and communication skills.
- Ability to work effectively with children, parents, and staff in a school setting.
- Current CPR and First Aid certification (or willingness to obtain upon hire).
- Additional professional development as required by state or diocese.
- Willingness to uphold and support the mission and values of Queen of Apostles Catholic School and the teachings of the Catholic Church.
Work Hours:
- Afternoon and early evening hours, Monday through Friday.
- Additional hours as needed for staff training, licensing visits, or school events.
